PowerPoint Presentations with Microsoft Windows DualView

Note: Blackblot delivers product management training using PowerPoint presentations with Microsoft Windows DualView.  The following information is provided as a service to anyone who could benefit from it.

When a computer has more than one video adapter, or one adapter with multiple output ports, then the multiple-monitors feature found in most Microsoft Windows operating systems can be used.  The multiple-monitors feature allows several display devices, such as display monitors and data projectors, to be connected to a single computer and to display different outputs at the same time.

The multiple-monitors feature is called DualView when used with a laptop computer since most modern laptop computers support two interfaces to the same display adapter.  With laptop computers the DualView functionality involves the integral display unit (LCD screen) interface and the external connector interface for a standalone monitor or other display device.  DualView enables the two interfaces to display different outputs at the same time.  DualView is an extension of the multiple-monitors feature in Microsoft Windows and is available on laptop computers running Microsoft Windows XP.

DualView is extremely useful when delivering Microsoft PowerPoint presentations.  It allows the presenter to do the following:

·  View the presentation outline, slides, and speaker notes while the audience sees only the slideshow.

·  View upcoming presentation outline, slides and speaker notes without advancing the slideshow which the audience sees.

·  Dynamically edit upcoming slides and speaker notes without advancing the slideshow which the audience sees.

Display Properties

To prepare a laptop computer for DualView operation, follow these steps:

·  Verify the laptop computer has an external connector for a standalone display monitor or other display device.

·  Update the laptop computer’s display drivers to their latest version.

·  Connect the laptop computer to the data projector or other display device with an appropriate cable.

To enable DualView with Windows XP, follow these steps (also see image):

·  Right-click on the Windows XP desktop, and then click Properties; OR; from the Start menu, point to Settings, and then Control Panel.  Select the Display icon/option.

·  From the Display Properties window, select the Settings tab.

·  Select the second display monitor (number 2) icon, and then select the Extend my Windows desktop onto this monitor check box option.  Click the Apply button.

·  On the Settings tab, click the Identify button to display a large number showing which display device corresponds with each monitor icon.

To run a PowerPoint 2003 slideshow presentation with two display devices in DualView, follow these steps (also see image):

·  Set Up ShowLaunch PowerPoint 2003.  Load or create a slideshow presentation.

·  On the Slide Show menu, select the Set Up Show menu option.  The Set Up Show window will appear.

·  In the Multiple monitors section, in the Display slide show on: list, select the monitor the slide show is to appear on.  Select the second display monitor when using a data projector.

·  To activate the Presenter view (optional), select the Show Presenter View check box.

·  When launched, the slide show will now run in full screen mode on the data projector.  The presentation outline and notes (in either Normal or Presenter views) will appear on the laptop’s LCD screen.

DualView mode can be turned off in the Display Properties window by selecting the second display monitor and then clearing the Extend my Windows Desktop onto this monitor check box.  As with any electrical or electronic device, before operation please carefully read the laptop computer’s and data projector’s user manuals for instructions and warnings on proper use.
